NextEVI (“we,” “us,” or “our”) operates an AI-powered voice interview platform that conducts interviews with customers and employees at scale, surfacing insights from voice conversations. This Privacy Policy explains how we collect, use, store, and protect information when you use our platform, website (nextevi.com), APIs, and related services (collectively, the “Service”).

Because voice data and conversation transcripts are central to our Service, we take particular care in how we handle this sensitive information. We encourage you to read this policy carefully to understand our practices regarding your data.

2. Information We Collect

2.1 Voice Conversation Recordings

The core of our Service involves AI-conducted voice interviews. When an interview is conducted through NextEVI, we collect and process the full audio recording of the conversation. These recordings are used to generate transcripts, perform emotional and tonal analysis, and produce synthesized insights.

2.2 Transcripts and Analysis

We generate real-time transcriptions of all voice interviews. Our AI engine further analyzes these transcripts to identify themes, sentiment, emotional cues, and actionable insights. This analysis is performed automatically and is accessible to authorized users within your organization.

2.3 Account Information

When you register for the Service, we collect information such as your name, email address, phone number, organization name, job title, and billing details. This information is used to create and manage your account, process payments, and communicate with you about the Service.

2.4 WhatsApp and Messaging Data

If you interact with NextEVI through WhatsApp or other messaging channels, we collect your phone number, message content, and message metadata (such as timestamps and delivery status). This data is used to send voice interview invitations, share interview results and insights, coordinate research participation, provide platform support, and deliver account-related notifications.

2.5 Usage Data and Analytics

We automatically collect information about how you interact with the Service, including pages visited, features used, interview configurations, session duration, browser type, device information, IP address, and referring URLs. This data helps us improve the Service and diagnose technical issues.

3. How We Use Your Information

We use the information we collect to:

  • Conduct AI-driven voice interviews and deliver transcripts, analysis, and insights to your dashboard
  • Operate, maintain, and improve the Service, including our AI interviewing and analysis capabilities
  • Process transactions and send related billing and account communications
  • Provide customer support and respond to your requests
  • Send service-related notifications, including updates, security alerts, and administrative messages
  • Generate anonymized, aggregated insights to improve our AI models and Service quality (your individual data is never identifiable in this process)
  • Detect, prevent, and address fraud, abuse, and security incidents
  • Communicate via WhatsApp for interview scheduling, research participation coordination, insight delivery, and platform-related notifications
  • Comply with legal obligations and enforce our Terms of Service

4. Consent to WhatsApp Communications

By providing your phone number to NextEVI, whether through our website, sign-up forms, or any other channel, you expressly consent to receive messages from NextEVI via WhatsApp. These messages may include, but are not limited to:

  • Voice interview invitations and scheduling confirmations
  • Interview results, insights, and report summaries
  • Research participation coordination and reminders
  • Platform updates and account notifications
  • Customer support and onboarding communications

Your consent is voluntary. You may withdraw your consent and opt out of receiving WhatsApp messages at any time (see Section 5 below).

5. Opt-Out and Unsubscribe

You can opt out of receiving WhatsApp messages from NextEVI at any time by:

  • Replying “STOP” to any WhatsApp message from NextEVI
  • Contacting us at hello@nextevi.com with a request to unsubscribe
  • Managing your communication preferences in your NextEVI account settings

Once you opt out, we will stop sending you WhatsApp messages within a reasonable timeframe (typically within 48 hours). Opting out of WhatsApp communications does not affect your ability to use other features of the Service.

6. Data Storage and Security

We implement enterprise-grade security measures to protect your data, including:

  • End-to-end encryption: all voice recordings, transcripts, and analysis data are encrypted in transit (TLS 1.3) and at rest (AES-256)
  • Access controls: role-based access management ensures only authorized users within your organization can view interview data
  • Infrastructure security: our cloud infrastructure is hosted in SOC 2 Type II compliant data centers with continuous monitoring
  • Audit logging: all access to interview data is logged and auditable
  • Regular security assessments: we conduct periodic penetration testing and vulnerability assessments

On-premise deployment: For organizations in regulated industries, including healthcare, financial services, government, and legal, NextEVI offers on-premise deployment options. With on-premise deployment, all voice data, transcripts, and AI processing remain entirely within your own infrastructure, giving you full control over data residency and compliance with sector-specific regulations such as HIPAA, SOX, and FedRAMP.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Specific retention periods are as follows:

  • Voice recordings: retained for the duration specified in your organization’s plan or contract, after which they are automatically deleted unless you request extended retention
  • Transcripts and analysis: retained for the same period as the associated recordings
  • Account information: retained while your account is active and for a reasonable period thereafter for legal and operational purposes
  • Usage data: retained in identifiable form for up to 24 months, then anonymized

Upon account termination, you may request a full export of your data within thirty (30) days. After this period, we will securely delete your data from our systems, unless retention is required by law.

8. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Right of access: request a copy of the personal data we hold about you
  • Right to rectification: request correction of inaccurate or incomplete data
  • Right to deletion: request deletion of your personal data, including voice recordings and transcripts
  • Right to data portability: request your data in a structured, commonly used, machine-readable format
  • Right to restrict processing: request that we limit how we process your data
  • Right to object: object to processing of your data for certain purposes
  • Right to withdraw consent: where processing is based on consent, you may withdraw it at any time

9. Third-Party Services

We may use third-party service providers to help us operate and improve the Service. These providers may have access to your data only to perform tasks on our behalf and are contractually obligated to protect your information. Categories of third-party services include:

  • Cloud infrastructure and hosting providers
  • Payment processors
  • Analytics and monitoring services
  • Customer support tools
  • Email and communication services
  • WhatsApp Business API providers and Meta Platforms, Inc. for the delivery of WhatsApp messages
  • CRM and customer engagement platforms

When you communicate with us via WhatsApp, your data (including phone number and message content) is processed through Meta’s WhatsApp Business Platform. Meta may process this data in accordance with its own privacy policy. We encourage you to review Meta’s privacy policy for details on how they handle data transmitted through WhatsApp.

We do not sell your personal data or voice interview data to third parties. We do not share identifiable interview recordings or transcripts with third parties except as necessary to provide the Service or as required by law.

10. Children’s Privacy

The Service is not directed at individuals under the age of 16. We do not knowingly collect personal data from children. If you become aware that a child has participated in an interview or provided personal data through the Service without appropriate consent, please contact us immediately at hello@nextevi.com, and we will take steps to delete such information promptly.

If your use case involves interviewing individuals who may be under 16, you must obtain verifiable parental or guardian consent before conducting any interview and ensure compliance with applicable children’s privacy laws, including COPPA and equivalent regulations.

11. International Data Transfers

NextEVI operates globally, and your data may be transferred to and processed in countries other than your country of residence. When we transfer data internationally, we implement appropriate safeguards, including:

  • Standard Contractual Clauses (SCCs) approved by the European Commission
  • Data processing agreements with all sub-processors
  • Encryption of data in transit and at rest regardless of geographic location

For organizations that require data to remain within specific geographic boundaries, our on-premise deployment option ensures that all voice data, transcripts, and processing occur entirely within your designated infrastructure and jurisdiction.

12. Compliance with Legal and Platform Obligations

NextEVI is committed to complying with all applicable data protection and privacy laws, including but not limited to the General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), India’s Digital Personal Data Protection Act (DPDPA), and other relevant local, national, and international regulations.

In addition, we comply with Meta’s WhatsApp Business Platform policies and data handling requirements for all communications conducted through WhatsApp. This includes adherence to Meta’s guidelines on user consent, data usage, message templates, and opt-out mechanisms.

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors.
